How Do You Switch IT Providers for a Dental Practice?

Cornerstone Computer Solutions

Providing IT Services to the Healthcare Industry Since 2005!

Switching IT providers for a dental practice comes down to five moving parts: a clean handover of your network documentation, a verified backup of your patient data, a migration plan built around your practice management software, a compliance review, and a go-live window that does not cost you a day of production. Handled properly, the change happens between appointments and your team barely notices.

Cornerstone Computer Solutions has run that handoff for dental offices across Colorado and the greater Rocky Mountain Region since 2005, and the practices that call us are rarely asking for anything exotic. They want their phones working, their imaging software opening on the first click, and a technician who knows the difference between a server problem and a Dentrix problem.

This Article Will Address

  • How long a provider change takes and whether you lose chair time
  • What happens to Dentrix, Eaglesoft, Open Dental, and your imaging files
  • How to end an existing agreement without stranding your data
  • The compliance review that should follow every handover

What Are the Signs Your Dental Practice Has Outgrown Its Current IT Provider?

The clearest sign is that you have started working around your technology instead of through it. Most offices do not make the call after one catastrophic failure. They make it after a year of small friction that quietly costs them production time.

  • You restart the server yourself because it is faster than waiting on a callback
  • Your provider has never once named your imaging software in a conversation
  • Backups run every night, but nobody has tested a restore
  • The same ticket reopens every few weeks under a different description
  • No one has walked your team through a risk assessment in over a year

Any one of those is survivable. Three or more usually means your support was sized for a small office and your practice is no longer one. Offices that move to dedicated dental IT support are generally not chasing a lower invoice. They are chasing a provider who already knows what a Friday morning looks like in an operatory.

How Long Does the Switch Take, and Will Your Office Have to Close?

Most dental transitions run two to four weeks from signed agreement to full handover, and a properly staged switch does not close your office for a single day. The timeline is deliberate rather than slow. The first week is discovery: mapping your network, inventorying workstations, and documenting where every system actually lives. Nothing changes during that week.

The cutover itself gets scheduled for an evening or an administrative day, and the imaging server is always the last piece touched, because it is the one your operatories cannot work without. Our monthly IT service plan builds that staged approach in rather than treating it as a one-time project fee. If your outgoing provider is cooperative, the handover moves faster. If they are not, discovery week is where that surfaces, which is exactly why it comes first.

Will Switching IT Companies Affect Dentrix, Eaglesoft, or Open Dental?

No. Your practice management software stays exactly where it is. Changing providers changes who manages the environment around your software, not the license, the database, or your relationship with the publisher.

What does change is who configures the workstations that run it, who patches the server it sits on, and who picks up the phone when a chart will not open. That is where platform-specific experience earns its keep. Our technicians are certified across more than 30 dental, veterinary, and medical applications, which covers what most offices run day to day:

Practice management systems including Dentrix, Eaglesoft, and Open Dental

Imaging platforms including DEXIS, Carestream, and Planmeca

The servers, workstations, and network hardware every one of them depends on

Ownership is hands-on here as well. Jordan Janz and Dana Van Stelle built the team around healthcare practices rather than general business accounts, which is why the first conversation tends to sound different.

What Happens to Your Patient Data and Imaging Files During the Transition?

Nothing moves unless moving it is part of the plan. In most dental transitions your data stays exactly where it already lives, on your server or in your existing cloud environment, and the incoming provider simply takes over responsibility for protecting it. Before anyone touches a setting, the sequence should look like this:

  • A full backup, verified rather than assumed
  • A written inventory of where imaging files and the patient database actually sit
  • A test restore that proves the backup can be brought back
  • Written confirmation before the outgoing provider’s administrative access is removed

That last step gets skipped more often than it should. Pulling access too early has stranded more practices than any technical failure. We pair the handover with HIPAA-compliant cloud data backup running on a three-copy strategy, so there is never a moment when your records exist in only one place.

How Do You Get Out of a Contract with Your Current Provider?

Start with two documents: your termination clause and your business associate agreement. The first tells you the notice period, typically 30 to 60 days, and whether the agreement renews automatically. The second governs what has to happen to your protected health information once the relationship ends, including return or destruction of that data.

Once notice is given, the questions you ask the next provider matter more than the number on the proposal:

  • What is your guaranteed emergency response time, in writing
  • Are your technicians certified on the practice management and imaging systems we already run
  • Is after-hours coverage included or billed separately
  • Is an annual risk assessment part of the plan or an add-on
  • Who owns the documentation of our network if we ever leave you

A provider who answers that last question comfortably is usually the one worth signing with.

How Does a New Provider Verify Your HIPAA Compliance After Taking Over?

With a documented risk assessment, not a reassuring email. A proper assessment examines administrative, physical, and technical safeguards, identifies where protected health information is exposed, and produces a written record you can show if you are ever audited. For an incoming provider it doubles as the best discovery tool available, because it surfaces what the previous arrangement left behind: shared logins, an unencrypted workstation in a back office, a backup that has been failing silently since spring. Our annual HIPAA risk assessment is included in the plan rather than quoted separately, and it is the first thing scheduled once a handover closes.

Expect the assessment to look past the server room. It should account for how staff log into workstations at the front desk, whether portable devices leaving the building are encrypted, how records are transmitted to specialists and insurers, and what happens to a departing employee’s access on their last day. Those are the gaps that show up in breach reports, and they are almost never technical failures. They are process gaps that nobody was assigned to close.
